ExclusionHQ

Privacy

Effective November 6, 2026

This policy explains what Wikivec Inc. (“we”) collects when you use ExclusionHQ, and why.

The free check

Names and dates of birth you check without an account are sent to our server for that one request and are not stored. To stop abuse we keep a daily count of checks per connection, keyed by a one-way hash of the IP address, never the address itself.

Accounts and plans

An account holds your email address (or your Google account's email and name). With a plan we store the roster you add (names, former names, dates of birth, NPIs, licence numbers, roles), each check you run, its results and how you resolved them. Dates of birth are encrypted before they are stored. The roster is about your staff and contractors, not your patients: do not add patient information.

Payments are handled by Stripe; we see your subscription's status and plan, never your full card number.

The exclusion lists

We store copies of the exclusion lists that agencies publish for screening. We show a listed person's details only to a user whose check matched them, never on public pages.

Who processes data for us

  • Vercel: hosting the website and running the checks, and anonymous usage statistics without cookies. Data: IP address and request logs; the names you check pass through for the length of the request.
  • Clerk: accounts and signing in. Data: your email address (or Google account email and name), sign-in records, IP address and browser.
  • Stripe: subscriptions, payments and receipts. Data: your name, email address, card and billing details (we never see your full card number).
  • Neon: storing your roster, your checks and their results, and the published exclusion lists. Data: the names, dates of birth (encrypted), NPIs and licence numbers you add, and your results.
  • Resend: sending change alerts and monthly receipts. Data: your email address and which people on your roster a change concerns.

How long we keep it, and deleting it

Your roster and reports stay while your account exists, so you can show past checks to an auditor. Delete your account (Account › Manage account › Delete account) and we delete your roster, checks and reports within 30 days. You can also ask us to delete or export your data at privacy@wikivec.com.
